01Who we are and how to contact us

Havenroll is an enrollment marketing agency serving private and Christian K-12 schools. Havenroll is a trade name of ELIWILK LLC, based in Memphis, Tennessee, USA. In this policy, "we," "us," and "our" refer to ELIWILK LLC doing business as Havenroll.

This policy covers the information we collect through our website at havenroll.co, through our advertising and lead forms, and in the course of delivering our services to client schools.

Our services are intended for users in the United States.

02What information we collect

Information you give us

This is information you actively provide, usually because you want something from us:

• Lead forms. When you request a resource, guide, or consultation through one of our ads or landing pages, we collect your name, work email address, phone number, and job title.
• Contact forms and email. If you contact us through our website or email us directly, we collect your name, email address, and whatever you choose to include in your message.
• Scheduling. If you book a call with us, we collect the information you enter when scheduling, including your name, email address, and any details you add about your school or your goals.
• Client onboarding. If your school becomes a client, we collect the information needed to do the work and get paid. That can include billing and payment details, contact information for your team, brand and marketing materials, access credentials for accounts you ask us to manage, and content you provide for campaigns.

Information collected automatically

When you visit our website, some information is collected automatically by our site and the analytics and advertising tools we use:

• Your IP address and general location derived from it
• Your browser type and version
• Your device type and operating system
• Pages you viewed, how long you stayed, and the links you clicked
• The site or ad that referred you to us
• Information gathered through cookies and similar tracking technologies

03How we collect it

We collect information through the following channels:

• Meta Lead Ads and Instant Forms on Facebook and Instagram. We run lead generation advertising on Facebook and Instagram. When you submit one of our Instant Forms, Meta passes the information you provided, including your name, work email address, phone number, and job title, directly to us. Meta's own handling of your data is governed by Meta's privacy policy, not ours.
• Forms on our website. Contact forms and resource requests submitted at havenroll.co.
• Direct communication. Email, phone calls, text messages, and scheduled meetings.
• Automatically as you browse. Through cookies, our analytics tools, and advertising pixels, as described in the cookies section below.

Information submitted through our lead forms flows into GoHighLevel, the customer relationship management platform we use to manage and follow up with inquiries.

04How we use it

We use the information we collect to:

• Deliver what you asked for. Send you the guide, resource, or information you requested.
• Respond to your inquiries. Answer your questions and schedule conversations.
• Follow up with you. Contact you by email, SMS, and phone about our services, including following up on a form you submitted.
• Deliver our services. Do the work our client schools hire us to do, manage their campaigns, and report on results.
• Process payments. Bill client schools and collect payment.
• Understand and improve our site. Analyze how people find and use havenroll.co so we can make it better, and measure how our advertising performs.
• Meet legal obligations. Comply with applicable law, enforce our agreements, and protect our rights.

05Marketing communications and SMS

When you submit a form on our website or through one of our ads, you are consenting to be contacted by Havenroll by email, SMS text message, and phone at the contact information you provided, including about our services. We typically follow up quickly after you submit a form.

Message and data rates may apply. Message frequency varies.

You can opt out at any time. Reply STOP to any text message to stop receiving SMS from us. Reply HELP for help. To stop receiving marketing emails, click the unsubscribe link at the bottom of any email we send, or email us and ask. If you would rather not receive phone calls, tell us and we'll note it.

Opting out of marketing messages does not stop transactional or service messages to client schools, such as billing notices or messages about work in progress.

06Who we share information with

We do not sell personal information. We share it only in the following categories, and only for the purposes described:

• Service providers and processors. Companies that run parts of our operation on our behalf, and that are only permitted to use the information to provide their service to us. This includes our CRM (GoHighLevel), email and productivity tools (Google Workspace), payment processing (Stripe), website hosting, analytics providers, and scheduling tools.
• Advertising platforms. Platforms such as Meta and Google, which we use to run and measure advertising campaigns. This is described further in the cookies section below.
• Professional advisors. Our accountants, lawyers, and similar advisors, when they need the information to advise us.
• Legal and safety disclosures. When we are required to by law, or in response to valid legal process, or when we believe disclosure is necessary to protect our rights, your safety, or the safety of others, or to investigate fraud.
• Business transfers. If our business is sold, merged, or reorganized, information may be transferred as part of that transaction.

07Cookies and tracking technologies

Our website uses cookies and similar technologies such as pixels and tags. Cookies are small files stored on your device that let a site remember things about your visit.

We use them to:

• Keep the site working correctly
• Understand how visitors use the site, through analytics tools such as Google Analytics
• Measure the performance of our advertising and show relevant ads, through the Meta pixel and similar advertising tools. The Meta pixel can tell us that a visitor who saw or clicked one of our ads later took an action on our site, and can be used to show ads to people who have visited us.

Most browsers let you control cookies through their settings. You can block or delete cookies, or ask to be warned before one is set. If you block cookies, parts of our site may not work as intended. You can also limit ad tracking through the settings offered by the advertising platforms themselves.

08Data retention

We keep personal information for as long as we need it for the purposes described in this policy, and for as long as we are legally required to keep it. In general, that means we keep inquiry and lead information while there is a reasonable prospect of working together and for a period afterward, and we keep client records for as long as the relationship lasts plus the period required for tax, accounting, and legal purposes. When we no longer need information, we delete it or otherwise dispose of it.

09Your rights and choices

You can ask us to:

• Tell you what personal information we hold about you
• Correct information that is wrong or out of date
• Delete information we no longer need to keep

To make any of these requests, email hello@havenroll.co. We may need to confirm your identity before we act, so we don't hand your information to someone else.

You can opt out of marketing at any time using the methods described in the marketing and SMS section above.

Residents of some states, including California, have additional rights regarding their personal information, such as the right to know what personal information is collected and how it is used, the right to request deletion, and the right not to be discriminated against for exercising those rights. You can exercise these rights by emailing us at the same address.

10Data security

We use reasonable safeguards to protect the information we hold, including access controls, reputable vendors for storage and processing, and limiting access to the people who need it to do their work.

That said, no method of transmitting information over the internet or storing it electronically is completely secure. We cannot guarantee absolute security, and we won't claim otherwise.

11Children's privacy

Our services are marketed to schools and other organizations, not to children. Our website is not directed to children under 13, and we do not knowingly collect personal information from them. If we learn that we have collected information from a child under 13, we will delete it.

Where we produce content involving students on behalf of a school client, such as photography, video, or testimonials, the school is responsible for obtaining parental consent and remains the controller of that information. We handle it on the school's behalf and according to their instructions.

12Third-party links

Our website and our emails may link to sites we don't operate. This policy doesn't cover those sites. We aren't responsible for their content or their privacy practices, and we'd encourage you to read the privacy policy of any site you visit from ours.

13Changes to this policy

We may update this policy from time to time as our business or the law changes. When we do, we'll revise the Last Updated date at the top of this page. If the changes are significant, we'll take reasonable steps to let you know. Continuing to use our website or services after an update means you accept the revised policy.
